Privacy Policy
Last updated:
Viva Photo Booth and More (“Viva”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through our website, our online galleries at vivaphotoboothandmore.ca/gallery, our booking process and our events, and how we use, share and protect it. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).
Who we are and what this policy covers
Viva is an owner-operated photo booth business run by Carlos & Ana in Metro Vancouver, British Columbia. “Personal information” means information about an identifiable person. This policy covers clients who book us, guests who use the booth at an event, and visitors to our website. It does not cover the practices of the third parties listed in section 5; their own policies apply to them.
Information we collect
Information you give us
- Quote requests: your name, email address, event date, event type, the service you are interested in and whatever you write in the message (venue, guest count, theme).
- Conversations: what you send us by email, phone, text or social media, including your phone number if you call or text us.
- Bookings and invoices: billing name and, if you give it, an address. We do not store card numbers.
Information created at your event
- Photos and short video clips taken in the booth or at our keepsake stations, messages written in a guest book, and the event name and host used to label the gallery.
Information collected automatically
- With your quote request: the page you sent it from and, if you arrived from an ad, the ad click identifier (for example Google’s
gclidor Meta’sfbclid) and campaign tags from the link you clicked. Your browser keeps them until you send the form so we know which ad brought you. - While you browse: pages viewed, time on page, clicks, device and browser type, and approximate location (city) derived from your IP address, through the tools in section 6.
- Spam checks: the time between opening a page and sending the form. It is used to reject automated submissions and is not stored.
How we use your information
- Reply to your quote request and prepare your quote.
- Plan, deliver and invoice your event, and deliver your online gallery.
- Send you messages about your booking. We do not send newsletters or marketing emails unless you ask for them.
- Understand how the website is used and which pages and ads lead to bookings, so we can improve both. This includes telling Google Ads or Meta that an ad led to a quote request, using a hashed version of your email that they match against their own users.
- Prevent spam and abuse of our forms and galleries.
- Keep the records Canadian tax and business laws require.
- Show our work in our portfolio, website and social media, with consent (section 7).
Consent
- When you send a quote request, you consent to us using your details to reply and prepare a quote. That is what a reasonable person would expect from the form.
- Marketing use of event photos rests on the host’s consent at booking, which can be withdrawn at any time, and on each person’s right to ask for removal.
- Analytics and advertising cookies are set when you browse with cookies enabled. Section 6 explains how to block them.
- You can withdraw consent at any time by emailing us. Some withdrawals mean we cannot provide a service: without an email address, for example, we cannot send a quote.
Who we share it with
We never sell personal information and never share it for other companies’ marketing. We share it only with the providers that run our business:
| Recipient | What | Why |
|---|---|---|
| Google LLC — Workspace (Gmail, Sheets, Apps Script) | Booking form details, our email correspondence with you | Store quote requests and notify us of new ones |
| Google LLC — Analytics 4 and Google Ads | Usage data, ad click identifiers, a hashed version of your email when you send the form | Understand how the site is used and measure which ads lead to bookings |
| Meta Platforms (Facebook, Instagram) — Pixel and Conversions API | Usage data, ad click identifiers, a hashed version of your email when you send the form | Measure which Facebook and Instagram ads lead to bookings |
| Microsoft — Clarity | Anonymised session recordings and heatmaps; text you type is masked | See where visitors struggle on the site and fix it |
| Our hosting and security provider | IP address and request logs | Host and protect the website and the online gallery |
| Event hosts | The online gallery of their event | If you attended an event as a guest, the host receives the gallery |
| Professional advisers and authorities | Only what is required | Accounting, legal advice, or where the law requires disclosure |
Cookies and tracking
Our website loads analytics and advertising tags through Google Tag Manager. They set cookies and similar identifiers in your browser:
| Tool | What it records | Type |
|---|---|---|
| Google Tag Manager | Loads the tags below | Essential (no data of its own) |
| Google Analytics 4 | Pages viewed, time on page, approximate location, device | Analytics |
| Google Ads | Which ad brought you here and whether you sent a quote request | Advertising |
| Meta Pixel | Which Facebook or Instagram ad brought you here and whether you sent a quote request | Advertising |
| Microsoft Clarity | Anonymised session replays and heatmaps | Analytics |
To limit tracking:
- Block or delete cookies in your browser settings; the site works without them.
- Google: install the Analytics opt-out add-on and manage ads at adssettings.google.com.
- Meta: adjust your ad preferences in your Facebook or Instagram settings.
- Microsoft Clarity: masks what you type by default; blocking third-party cookies stops it.
Event photos and online galleries
- The booth only photographs guests who choose to step in front of it. The host of the event is responsible for letting guests know a booth is operating and that photos may appear in the event’s gallery.
- Galleries live at vivaphotoboothandmore.ca/gallery behind a password we share with the host. The host decides who receives it.
- Our booking contract includes a social media release signed by the parent, organizer or person responsible for the event. It allows us to use short clips and photos from the event on our social media and website, even where children appear and may be recognizable. We never single out individual children in close-ups and we never make invasive use of the images.
- Hosts can exclude their event from social media by telling us in writing. Any person who appears in a photo can ask us to remove it from our marketing at any time; write to us at info@vivaphotoboothandmore.ca and we will.
- Guest book messages belong to the host and are not used by us.
How long we keep your information
- Quote requests that do not become bookings
24 months after our last contact, then deleted from our records. - Bookings, invoices and payments
Six years after the end of the tax year they relate to, as Canadian tax law requires. - Event photos
60 days after the event. We may keep them longer when we can, without guarantee, and delete them on request. - Analytics data
According to each provider’s retention settings (Google Analytics: 14 months).
Where your information is stored
We are in Canada, but the providers in section 5 store data on servers in the United States and other countries. While there, it may be accessible to the authorities of those countries under their laws. We choose established providers that commit contractually to protecting the data they process for us.
Security
The website and galleries use HTTPS. Access to your information is limited to the two owners. Galleries are password protected and our forms include spam protection. No method of storage or transmission is completely secure; if you believe your information has been compromised, tell us at info@vivaphotoboothandmore.ca.
Your rights
You can ask us, at any time, to:
- Tell you what personal information we hold about you and how we use it.
- Correct information that is inaccurate.
- Withdraw your consent to a use of your information.
- Delete your information or remove a photo, subject to the records the law requires us to keep.
Email our Privacy Officer at info@vivaphotoboothandmore.ca. We may ask you to confirm your identity, and we answer within 30 days, free of charge.
If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Children
Our website is not directed at children and we do not knowingly collect personal information from anyone under 13 through it. Children are photographed at events under the social media release signed by the host, parent or guardian, who can ask us to remove any photo at any time.
Third-party links
The site links to our social media profiles and Google Maps. Those services have their own privacy policies and we are not responsible for their practices.
Changes to this policy
We may update this policy; the date at the top tells you when. If a change materially affects how we use your information, we say so on this page.
